Resume for a Receptionist: Front Desk Format and Examples

A receptionist resume is a busy desk, described in numbers: calls a day, visitors or patients a day, appointments booked, and the systems your sector runs. Answered phones and greeted visitors describes the job title, not you. This page gives you the sector table, two worked examples and a blank template.

What a front desk resume has to prove

That you can hold a busy desk without anything being dropped. Calls answered while somebody is standing in front of you, a delivery arriving, and a patient or client who is late and unhappy, all at once.

That is why volume is the language of this resume. A number tells the manager how loud your last desk was, and whether theirs is a step up, a step down or a match.

The second thing they read for is the system. Front desks are rarely trained from scratch, so naming the switchboard platform and the booking software you already know quietly promises a short handoff. That beats any adjective in a summary.

Writing the volume lines when you never counted

Most receptionists have never been given a figure, so you describe the desk instead. Four ways to do it honestly:

  • Count one normal day. Not your worst Monday, a normal day. Then write it as a range with the shift attached: 90 to 120 calls a day on an eight hour shift. A range reads as real, and a suspiciously exact number invites a question you cannot answer.
  • Describe the desk if you cannot count the work. Lines on the phone, extensions covered, providers or staff supported, people on the desk with you. Alone on a five line desk for four providers tells a manager everything a call count would have.
  • Name what you fixed, not just what you did. A reminder call that cut no shows, a sign in process that stopped visitors wandering in, a courier log that ended missing parcels. One improvement line separates you from every other applicant, because reception is usually described as maintenance rather than change.
  • Say what you covered alone. Holidays, sickness, an unfilled vacancy, the early open, the late close. Solo cover is the strongest trust signal a front desk resume can carry, and it costs one bullet.

Two things to leave off. Do not add a photo, even though reception is a visible role, because it causes parsing problems and many employers discard resumes that carry one. And keep confidential material generic, especially in healthcare and legal settings, where naming a patient or a client on your resume is itself the problem.

If your desk work has grown into calendars, documents, purchasing and project support, the resume for an administrative assistant is the page built for that version of the job.

Build yours

  1. Step 1, describe your desk in one line. Sector, lines on the phone, people supported, visitors or patients a day. Write it before anything else.
  2. Step 2, list every system by name. Phone platform, booking or practice software, visitor management, payment terminal. Include the ones you only used occasionally, since front desks value breadth here.
  3. Step 3, check the match. Reception postings attract heavy application volumes and are screened by software first. Paste the ad and your draft into the free ATS match check to see the missing words, in about 30 seconds and at no cost.
  4. Step 4, lay it out in the builder. It handles the single-column, ATS-safe formatting and exports a clean PDF in about five minutes. The AI resume builder turns your desk notes into bullets so you are editing rather than staring at a blank page. No signup needed.
