Scope and systems, the two things being judged
Support scope tells the reader how big your job was. Systems tell them how little training you will need. Almost every rejected admin resume is missing both.
Scope is one sentence: supported 3 directors and a 22 person operations team across two sites. That line does more work than a paragraph about being organized and detail oriented, because the reader can immediately place you against the role they are filling.
Systems is just honesty with product names. Outlook, Concur, SharePoint, Smartsheet, Workday. Hiring managers filter on those words, and so does the software they filter with. Proficient in Microsoft Office matches nothing.
Looking at the front desk side of office work instead, where phones and visitors are the job? That is the resume for a receptionist, which is a different page with different numbers on it.

Quantifying support work when nobody gave you a target
Admin roles rarely come with a scoreboard, so you build one out of volume and ownership. Four sources, all of them already in your week:
- Headcount. People supported, their level, teams covered, sites covered. This is the strongest single number on an admin resume and the one most often missing.
- Throughput. Meetings a week, expense reports a month, invoices a quarter, trips a year, documents in the library, starters onboarded. Count one typical week and multiply, and say roughly rather than pretending to precision.
- Ownership. Things that were yours rather than tasks you helped with: the department filing system, the action tracker, the travel policy, the onboarding checklist, the supplier list. Ownership is what moves you from assistant to senior assistant.
- Improvement. Something that is different because you were there. A filing system moved online, a naming convention introduced, an approval chase that stopped missing payment runs. One line is enough, and it does not need a percentage.
Skip the personality adjectives. Organized, detail oriented and self starter appear on nearly every admin resume submitted, which means they carry no information at all. The scope line does the same job and is checkable.
The step up to executive assistant
Admin support has a real ladder, and your resume should point at the next rung rather than describing the current one.
- Administrative assistant. Broad support for a team or department. Calendars, documents, purchasing, meetings, onboarding.
- Senior administrative assistant or office manager. The same work plus ownership: budgets, suppliers, facilities, and often supervising other admin staff. Lead with what was yours and any people you directed.
- Executive assistant. One or two senior leaders, heavy calendar defense, confidential material, board and investor logistics, and decisions taken on their behalf. To aim here, lead with the most senior person you have supported, any confidential or board work, and examples where you decided rather than asked.
